To make a free booking form, collect what you need to say yes (who, what, when, where), add an optional Stripe deposit, and get an email for every request. Qwenvo has no calendar, so each booking is a request you confirm by replying. That suits services where you check your schedule first.
Request or instant booking?
A booking form works in one of two ways, and picking the right one decides whether Qwenvo fits.
- Request model. Customers say what they want and when. You check your diary and reply. This suits cleaners, photographers, tutors, caterers, pet sitters and anyone whose time is not a fixed grid. Qwenvo is built for this.
- Live-slot model. Customers pick a free slot and it is locked. That needs a calendar behind it. Qwenvo does not have one, but you can embed a scheduler such as Calendly with the Embed anything block. Our guide to a free appointment booking form, covers that.
What to ask on a booking form
- Name and a way to reach them: an Email block, plus a Phone number block if you confirm by text.
- What they are booking: a Multiple choice or Dropdown with your services, so you never decode free text.
- Preferred date: a Date block. Ask for a second choice in a separate question if your diary is tight.
- Place or address, if you travel to them.
- Size or scope: a Number block for guests, rooms or hours.
- Extras: Checkboxes for add-ons.
- Access and notes: a Long answer for parking, door codes, allergies, pets, anything that stops you arriving blind.
The house cleaning booking template is a good model: home size, frequency, extras, a preferred date and a field for how to get in. The photography booking request adds style and budget. Both are free to copy and edit.
Build it
- Create a free account and open a template, or describe the form to the AI on the empty-form screen.
- Edit the service list to match what you really sell, with prices in the option text if you want them visible.
- Use Add conditional logic to show follow-up questions only when they apply, such as an address question only for home visits.
- Open Settings and turn on email notifications so every request lands in your inbox, optionally with a PDF of the answers.
- Turn on the respondent confirmation email, pointed at the email question, so the customer has a record. Write it as a request received, not a confirmed booking.
- Write a thank-you page that says when you will reply.
- Publish and share the link, or embed it on your site from the Share tab.
Take a deposit
If no-shows hurt, end the form with a Payment block. It uses your own Stripe account and charges a 0% Qwenvo platform fee; Stripe's own fee applies. Set the deposit in the Price field, pick the currency and connect with Stripe. The workshop booking template shows a seat fee on a booking form, and the Stripe payment form guide has the steps.
Avoid double bookings without a calendar
- Say plainly that a submission is a request until you confirm it.
- Use Close form on a scheduled date for seasonal offers, such as a booking window that ends the day before.
- Use Limit number of submissions to close the form after a set number of requests. This applies to the whole form, not to individual dates or options.
- Reply quickly. A request unanswered for two days becomes a lost customer.
Work through requests faster
Open Submissions to see requests as a table and export CSV, JSON or XLSX. Switch on Triage submissions with AI and each request gets a category, a priority, a short summary and a suggested reply, with routing rules that send urgent ones to up to five email addresses or a Slack webhook. It suggests; you decide. See AI form triage.
An honest limit
There is no calendar, availability grid or automatic reminder. If you take dozens of bookings a day and need live slot locking, use a dedicated scheduling tool. For everything where you review each booking, a form is simpler and costs nothing.
Questions people ask
Can people pick a time slot?
They can choose from options you list in a Dropdown or Multiple choice, but slots are not locked once taken. For live slots, embed a scheduler.
Can I take payment when they book?
Yes, through the Payment block and your own Stripe account.
Is it free for how many bookings?
There is no cap on submissions under the fair use policy, which contacts accounts near 50,000 submissions a month. See fair use.
