Free appointment booking form: preferred times or Calendly

By the Qwenvo team · · 3 min read

Qwenvo has no built-in calendar, so a free appointment booking form works in one of two ways: collect preferred dates and times and confirm each one yourself, or embed Calendly with the Embed anything block so people pick a live slot. Both are free to set up. Pick by how many appointments you take.

Method one: preferred times

Your form asks when the person is free, and you confirm one of the options by email. It needs no other tool and gives you the person's details up front, which works well for consultations, tutoring, clinics that triage first and coaching.

  1. Create the form from the coaching session booking template or the parent-teacher conference template, or start blank.
  2. Add a Date block for the first choice and a Time block for the start time. In a Date block you can disable past dates and weekend days.
  3. Add a second Date and Time pair labelled "Second choice", so you can propose one without a back-and-forth.
  4. Add a Dropdown for appointment length or type, and a Long answer for what they want to cover.
  5. Ask for a time zone if you work across regions.
  6. In Settings, turn on email notifications and the respondent confirmation email, worded as "request received".
  7. Publish and share the link.

The coaching template pairs a preferred date and start time with session length and a paid option, which is a pattern worth copying.

Method two: embed Calendly

Calendly and similar schedulers own the calendar. Qwenvo owns the questions. You can combine them in two good ways:

  • Screen, then book. Put your qualifying questions first. At the end of the form, add an Embed anything block with your Calendly link so people book immediately after answering. Use Add conditional logic to show the booking page only to people who qualify.
  • Book, then fill in. Share your Calendly link first. If your scheduler can redirect people after booking, point it at a Qwenvo intake form.

Embed anything accepts Google Maps, Calendly, Figma, PDFs and more. See the embed guide. Calendly's own free and paid limits are set by Calendly, so check its pricing page.

Which method fits you

  • A few appointments a week, each different: preferred times. You stay in control of the diary.
  • Many repeat appointments, fixed slots: Calendly or another scheduler, with a Qwenvo intake form attached.
  • You need to collect payment first: put a Payment block in the form, and book after payment. Stripe is the only provider.
  • You need reminders and calendar invites automatically: a scheduler. Qwenvo does not send calendar invites.

What to ask before the appointment

A good appointment form saves the first ten minutes of the meeting. Ask for the minimum that lets you prepare:

  • The reason for the appointment, in their own words.
  • Anything you must know before you see them: allergies, accessibility needs, documents to bring.
  • Contact preference, so you reply the way they will notice.
  • A File upload block when they should send a document in advance (up to 1 GB per file).

Do not collect more sensitive information than you need. Qwenvo has no HIPAA offering and is hosted in the United States, so it is not right for protected health information. See form data retention if you want submissions to auto-delete.

Cut no-shows and mix-ups

  • Write the thank-you page as a clear next step: "We will confirm within one working day."
  • Use Redirect on completion to send people to your Calendly page if you prefer that flow.
  • Use the confirmation email to repeat their chosen times back to them.
  • Use Prevent duplicate submissions if people submit twice out of nerves.

Write the reply once

With the preferred-times method, you answer every request by email, so write the reply once and reuse it. Keep it to three lines: the time you are confirming, where or how to meet, and what to do if it no longer suits them. If neither of their options works, offer two alternatives in the same message. Qwenvo's triage can draft a suggested reply for each submission, which you can edit, but you still send it yourself.

Questions people ask

Does Qwenvo have a built-in appointment calendar?

No. It has Date and Time blocks and an Embed anything block, but no calendar that locks slots.

Can I send calendar invites?

Not from Qwenvo. Use your own calendar, or a scheduler embedded in the form.

How is this different from the booking form?

That one covers service requests such as cleaning or photography, with deposits and extras. See free booking form. This one is about choosing a time.
