How to Create a Sign-Up Sheet Online (Shifts, Potlucks, Rides)

By the Qwenvo team · · 3 min read

To create an online sign-up sheet, make a form with name, contact and the slot or item each person picks, publish it, and send the link. To let everyone see what is taken, connect the form to a Google Sheet and share the sheet read-only. Qwenvo is free for this.

Know what kind of sheet you need

  • Pick a slot: volunteer shifts, appointment times, rides. People choose one option from a list.
  • Bring an item: potluck, supplies, a bake sale. People say what they will bring.
  • Just join: a class, club or trip. People add their name and details.

Pick the type first, because the way you show 'what is taken' differs for each.

Step 1: Build the form

  1. Click New form and title it clearly: 'Saturday food drive: pick a shift'.
  2. Add a Text block with the date, place and any rules.
  3. Type / and add Short answer for name, plus Email or Phone number so you can remind people.
  4. Add the choice: a Multiple choice or Dropdown for slots, a Short answer for the item they bring, or Checkboxes if people can take more than one shift.
  5. Add a Number block for how many people they bring, if that matters.
  6. Add a Thank-you page that repeats the details.
  7. Switch on respondent email notifications so each person gets a confirmation. Use @ to include their choice.
  8. Publish and share the link in your group chat, email or on the notice board.

The volunteer shift sign-up, potluck sign-up, carpool sign-up, garage sale sign-up and after-school club sign-up templates are ready to edit.

Step 2: Show everyone what is taken

A paper sheet works because everyone sees the gaps. To copy that, send submissions to a Google Sheet and share the sheet.

  1. Open the form's Integrations tab and connect Google Sheets. Pick a new sheet. The steps are in form to Google Sheets.
  2. In Google Sheets, share the sheet as view-only with the group. If it includes email and phone numbers, hide those columns or copy only the name and slot to a second, shared tab.
  3. Put the sheet link on the thank-you page and in your message: 'Check what is still open here.'

Think twice before sharing contact details with the whole group. Share names and slots only.

Step 3: Handle limits honestly

A sign-up sheet often needs 'only three people per shift'. Here is what Qwenvo can and cannot do:

  • Can: close the whole form after a number of responses (Limit number of submissions) or on a date (Close form on a scheduled date), and show a closed message.
  • Can: stop repeat sign-ups with Prevent duplicate submissions.
  • Cannot: limit each individual option, or remove a slot from the list when it fills.

Ways to work around the last point: make one form per shift if you have only a few, so each form closes by itself at its cap; or keep a single form, watch the shared sheet and tell latecomers when a slot is full; or add a line to the form, 'If your shift is full, we will email you the next open one'.

Step 4: After people sign up

  • Export Submissions as CSV or XLSX to print a roster.
  • Send a reminder a day before from your own email or chat; the confirmation already holds their choice.
  • Close the form when the event is full, and publish the final list.

A message to send with the link

Hi all, we need five helpers for the food drive on Saturday. Pick one shift here: [link]. You will get a confirmation email straight away. If your plans change, reply to that email and we will free your spot. Open shifts are listed in the shared sheet: [sheet link].

Name the date, say what you need and how many people, and give one clear way to cancel. People sign up faster when they know what they are agreeing to.

Mistakes to avoid

  • Sharing a sheet with phone numbers and emails with everyone.
  • Vague slot names. Use 'Sat 9:00-11:00, setup' not 'Morning'.
  • No cut-off. Set a date so late changes do not catch you.
  • Not testing. Sign up yourself from a phone first.

Questions people ask

Do people need an account to sign up?

No. They open the link, fill it in and submit.

Can I let people cancel?

Not through the form. Ask them to reply to the confirmation email or contact you, then update your roster.

Is it free?

Yes. There are no paid plans and you do not need a card. See fair use for the very high-volume limits.

Every feature, $0, no card.
