Best online form builder for small business (cost over a year)

By the Qwenvo team · · 3 min read

The best online form builder for a small business is the one that puts your logo, your own domain and your whole team on it without a bill. Qwenvo does that for $0. Tally's free plan is strong but charges for branding removal and domains. Disclosure: we make Qwenvo, so it is listed first. Here is how we compared the five.

A small business has different needs

A hobbyist builds a form and leaves. A business puts it on a website, forwards the results to staff and keeps customer data for a while. So we weighted differently from other lists:

  1. Cost over a year for a typical setup: no badge, own domain, two or three people.
  2. Brand control: logo, colours, fonts.
  3. Where answers go: email, Slack, a sheet, a CRM.
  4. Payments for deposits and orders.
  5. Support when it breaks, and honesty about limits.

Cost over a year, from the vendors' own pages

  • Qwenvo: $0.
  • Tally: free works, but badge off, custom domain and teammates need Pro: $290 a year, or $29 a month.
  • Fillout: free is capped at 1,000 responses a month; its Pro plan ($49 a month, $40 yearly) removes branding and a custom domain arrives on Business ($89 a month, $75 yearly).
  • Jotform: free Starter has limits and branding; paid plans remove branding. Check its pricing page.
  • Google Forms: free with a Google account; limited branding.

1. Qwenvo

Best for: a business that wants a branded, professional form without a subscription. Use the Customize panel for colours, fonts and logo, switch off the Qwenvo branding in Settings, put the form on something like forms.yourbusiness.com through the Domains page, invite teammates (unlimited and free), and take deposits through your own Stripe account at a 0% platform fee. File uploads go up to 1 GB.

Start with the quote request form, client intake form or house cleaning booking template. Send replies to Slack, Google Sheets, Airtable, Zapier or a webhook. AI triage tags each enquiry with a priority so the urgent ones surface first.

Watch out for: a new product (October 2026) with few public reviews, US hosting, Stripe only, no mobile app, and no built-in booking calendar (embed Calendly with Embed anything).

2. Tally

Best for: a business with a small budget that can live with the badge. Unlimited forms and submissions, logic, payments and signatures are free. Watch out for: the Pro price of $29 a month, once branding, domain or teammates matter. Read what Tally Pro includes.

3. Fillout

Best for: businesses that run on Airtable, Notion or HubSpot. Watch out for: the response cap and the ladder of paid plans. Check Fillout's pricing.

4. Jotform

Best for: businesses that need a mobile app, many payment processors or HIPAA features on a paid plan. Watch out for: limits on the free plan. See Jotform's pricing.

5. Google Forms

Best for: internal staff forms and quick polls. Watch out for: customers see a Google-looking form, there are no built-in payments, and uploads need a Google sign-in.

Three setups, matched to a business

  • A salon or cleaner taking bookings: a booking form with a deposit on Qwenvo, and Calendly embedded if you need slots.
  • A consultant with a lead form: a branded form on your own domain, with answers routed to email.
  • A shop with pre-orders: an order form with a calculated total and Stripe payment.

Where the others are better

A larger company with strict vendor checks may prefer a tool with years of reviews or health-data features. That points to Jotform, or to Tally for European hosting.
