To create a free RSVP form, ask four things: the guest's name, whether they are coming, how many people they are bringing, and any dietary needs. Qwenvo has ready RSVP templates for weddings, birthdays, baby showers and general events. Share the link and watch the replies add up.
Pick a template that fits the occasion
- [Event RSVP](/templates/event-rsvp): name, Yes, No or Maybe, a number of guests from 0 to 5, and dietary notes. The plain-vanilla choice for meetups and parties.
- [Birthday party RSVP](/templates/birthday-party-rsvp): adds a headcount of 1 to 10, dietary checkboxes and a message for the birthday person.
- [Baby shower RSVP](/templates/baby-shower-rsvp): a guest count of 1 to 4, a wish for the parents and an allergies field, in a soft blue theme.
- [Wedding RSVP](/templates/wedding-rsvp): joyfully accept or regretfully decline, a meal preference and a song request, in a warm colour theme.
All are editable. Change the wording, the maximum guest number and the colours in Customize.
Build the form
- Sign up free and open the template closest to your event.
- Edit the title and intro to state the date, time and place. People read the top of the form first.
- Check the attendance question has the answers you want. Decide whether to keep Maybe, since a Maybe is a question you still have to answer later.
- Set the guest-count limits to match how many people you can host per invitation.
- Switch on email notifications in Settings so each reply reaches you.
- Write the thank-you page with practical details such as parking, dress code or a map. Use an Embed anything block for a Google Maps pin.
- Share the link in your group chat, invitation email or on a printed card.
Hide questions people do not need
A guest who is not coming should not wade through meal choices. Use logic to keep the form short:
- Open the attendance question's menu and choose Add conditional logic.
- Create a rule: when the answer is "Regretfully decline" (or No), jump to the thank-you page.
- Or keep everyone on the same page and hide the meal and guest-count questions for people who decline, using the show/hide rule.
The same trick can show a "Names of your guests" Long answer only when the guest count is above one.
Set a deadline and a cap
- Close form on a scheduled date closes the form after the RSVP-by date. The closed-form message can tell latecomers who to call.
- Limit number of submissions closes the form after a fixed number of replies. It counts replies, not guests, so use it for rough capacity only.
- Password protect form keeps a private event private if you send the password with the invitation.
Count the replies
Open Submissions for the list of replies. Insights shows the Yes, No and Maybe split and the average number of guests. For a headcount you can trust, export XLSX or CSV and add up the guest column, or connect Google Sheets so replies appear in a spreadsheet as they arrive. If someone changes their mind they can submit again, unless you turned on Prevent duplicate submissions, so sort by date and treat the newest reply as the real one.
Make it feel like your event
Use Customize for fonts, colours, a logo and a cover image, and switch off the Qwenvo branding badge in Settings if you want a clean invitation. A custom domain such as rsvp.yourname.com is possible too, through the Domains page. All of it is free.
A limit to know
A form does not send reminders or track who has not replied. To chase non-responders, keep your guest list in a spreadsheet and compare it with the exported replies. For a guest-by-guest tracker with automatic reminders, a dedicated invitation service is a better fit.
Questions people ask
How many guests can reply?
There is no submission cap on the free account. Qwenvo's fair use policy only contacts accounts near 50,000 submissions a month.
Do guests need an account?
No. They open the link, answer and submit.
Can I collect a song request or a message?
Yes. Add a Short answer or Long answer block. The wedding and birthday templates already include one.
Planning something larger? See the event registration form guide for caps, payments and waitlists.
