Create a free order form: pay now, pay later or group order

By the Qwenvo team · · 4 min read

To create a free order form, list your products in a Dropdown, add a Number block for quantity, collect name, email and delivery details, and finish with a Payment block if people pay up front. Qwenvo is free, takes 0% on top of Stripe's fee, and sends you an email for every order.

Pick the kind of order form first

Most order forms are one of three shapes. Choosing early saves you rebuilding later.

  • Pay now. The customer pays by card in the form through your Stripe account. Best for products you can fulfil quickly, one-off services and digital goods. Start from the order form template.
  • Pay later. The form only reserves the order, and you invoice or collect payment when it ships. Best for merch drops and made-to-order work. The merch pre-order form does exactly this: item, size, colour, quantity and shipping address, with "you pay when it ships" in the intro.
  • Group order. Many people order from one shared menu or list, and you collect all the answers. The team lunch order collects a main, a drink and dietary needs from each person.

Build a pay-now order form

  1. Create an account and open the order form template.
  2. Edit the Product Dropdown. Put the price in the option text, such as "Hoodie, $45", so customers see it before they commit.
  3. Keep the Quantity Number block with a minimum of 1. Add a maximum if you cap orders per person.
  4. Ask only for what you need to deliver: full name, email and a Long answer for the shipping address. Add a Phone number block if the courier needs it.
  5. Type / and add a Payment block at the end. In Price, enter an amount, choose the currency and click Connect with Stripe.
  6. Preview, then place one real small test order. Check both the Stripe payment and the submission arrive.
  7. In Settings, switch on email notifications for you and a confirmation email to the customer.

Make the total add up

A fixed price works for one product. When the amount depends on the choice and the quantity, use a calculated field. Add a Calculated fields block with a variable such as total, then add a rule for each product with Add conditional logic: when the Product is the hoodie, calculate total as 45 times the Quantity answer. Next to Price in the Payment block there is a picker that lets the price come from a number answer or a calculated field, so the customer pays that total.

Show the total above the Payment block by mentioning the variable with @. Always check the amount in Stripe against the order before you ship. A form is a convenient front door, not a stockroom ledger.

Digital orders and pre-sales

Selling a course, ebook or template pack is simpler because there is nothing to ship. The digital product pre-order template offers packages at different prices, asks where the buyer heard about you and ends in a payment. Use the thank-you page to say what happens at launch and who to email if something goes wrong.

Control how long the form stays open

  • Close form on a scheduled date for a drop that ends on Friday at midnight.
  • Limit number of submissions to close after a fixed number of orders. It counts orders, not units, so one order of five items counts as one.
  • Password protect form for a private order link sent to a customer list.
  • Prevent duplicate submissions if you want one order per person.

Keep the form short

Every extra required field loses buyers. Cut anything you can ask after the order. Put options as clear choices instead of typed text, and use one page unless the order has real stages. For longer orders, split into pages with a progress bar so people see how far they are.

Fees and limits you should know

Qwenvo takes a 0% platform fee. Stripe's own processing fee applies, and Stripe is the only payment provider, so PayPal, Razorpay and UPI are not available. Qwenvo is a form builder, not a store: stock counts, carts and tax tables are not built in. For an ongoing shop with a catalog, a store platform is the better fit. For a small run of orders, a launch or a one-off sale, a form is faster and cheaper.

Questions people ask

Can I take orders without payment?

Yes. Leave out the Payment block and invoice later. That is how the merch pre-order template works.

Which currencies can I charge in?

Many. Pick one in the Payment block's currency menu, subject to what your Stripe account supports.

Where do my orders go?

Into the Submissions table, your notification email and any integration you connect, such as Google Sheets, Airtable or a webhook. Export as CSV, JSON or XLSX any time.

Every feature, $0, no card.
