To collect files, type / in the editor and add a File upload block. Respondents choose a file and submit it with their answers. On Qwenvo each file can be up to 1 GB and a workspace holds 500 GB, free. Respondents do not need to sign in.
Where file upload forms are useful
- Job applications with a CV and portfolio: the job application form.
- Creative work: photographers, designers and artists collecting references with an art commission request or a photography booking request.
- Support and bug reports with screenshots or screen recordings: the bug report form.
- Contest entries, scholarship applications and homework submissions.
Add a file upload in five steps
- Open your form and put the cursor on the line where the upload belongs.
- Type
/and choose File upload. - Write a title that says exactly what to send, such as 'Upload your CV (PDF)' or 'A screenshot of the error'.
- Decide whether it is required. Make it optional unless you cannot proceed without a file.
- Preview the form and upload a test file yourself, then check that it appears in Submissions.
How big is big enough
Each file can be up to 1 GB and a workspace has 500 GB of storage. For comparison, Tally's free plan allows files up to 10 MB each, and larger uploads need Pro. Google Forms makes respondents sign in with Google to upload anything. That means video, design files and scans, which are big, can go through a normal link on Qwenvo.
Uploads are covered by the fair use policy: accounts uploading around 100 GB in a month, or storing over 500 GB, get a conversation about a custom arrangement. Normal use sits well below it.
Tips for getting good files
- Name the format in the question. 'PDF or Word' saves you a conversion.
- Say what is too big. A large file depends on the respondent's connection; for something enormous, ask for a link to a shared drive instead.
- Use one upload block per kind of file. 'CV' and 'Portfolio' are easier to review than one block for everything.
- Tell people what happens to their files. Add a short privacy line, and consider the retention setting so files are deleted after a set number of days.
- Add a thank-you message that confirms the files arrived.
Find and manage uploads
Open Submissions to see each response with its files. Export the answers as CSV, JSON or XLSX, or download a PDF of a submission. If files are sensitive, set Submissions data retention in Settings so old submissions are deleted automatically after the number of days you choose.
Mistakes to avoid
- Requiring files from everyone. If only some people need to upload, use conditional logic to show the block only to them.
- Not testing from a phone. Many respondents will upload from a phone camera roll.
- Collecting more than you need. Every file you hold is something to protect.
- Forgetting storage. Review and clear old files from time to time.
The honest part: one gigabyte per file is generous but not infinite, and a big upload still depends on the respondent's connection. For files of tens of gigabytes, ask for a link to a file-transfer service.
Wording that gets the right files
The title of the upload question is your instruction. Compare three versions:
- Weak: 'Upload file'.
- Better: 'Upload your CV as a PDF'.
- Best: 'Upload your CV as a PDF. One file is enough.'
Add a short line above the block about what you will do with the files and how long you will keep them. People upload more readily when they know.
Questions people ask
How do I add a file upload to a form?
Type / and pick File upload. Then name the file you want in the title. There is more in create a form.
Do people need an account to upload?
No. Anyone with the link can upload. That is the main difference from Google Forms, which asks respondents to sign in.
What is the maximum file size?
1 GB per file, with 500 GB of storage for the workspace. Tally's free plan stops at 10 MB per file; see Tally's paid features, free here.
Can I limit who can fill it in?
Yes, with a password in Settings. For a rough picture of volume, around 50,000 submissions or emails a month is where the fair use policy starts to apply.
