Best free survey tools for research: data control compared

By the Qwenvo team · · 3 min read

For research, the best free survey tool is the one that gives you clean exports, a consent step you control and a way to delete data when the study ends. Qwenvo, Google Forms, Microsoft Forms, Formbricks and Tally all cover the basics. Disclosure: we make Qwenvo, so it is listed first. None of them replaces your ethics board's approval.

What researchers should compare

A thesis or study does not need a flashy editor. It needs control over the data. We ranked on:

  1. Exports. Can you pull every answer into SPSS, R or a spreadsheet?
  2. Consent and skip logic. A consent page that blocks anyone who declines, and routes by earlier answers.
  3. Retention and deletion. Auto-delete after your approved period.
  4. Hosting and ownership. Where the data lives and who can open it.
  5. Response limits on the free plan.

Quick comparison

  • Qwenvo: CSV, JSON and XLSX export; data retention setting; 90-day version history; audit log. US-hosted.
  • Google Forms: free with a Google account; familiar to participants; data lives in your Google account.
  • Microsoft Forms: free with a Microsoft account; many universities already license Microsoft 365, which is worth checking for yours.
  • Formbricks: self-hostable open source, so the data stays on your own server.
  • Tally: unlimited free submissions; email verification and data retention are on the Business plan; hosted in Europe.

1. Qwenvo

Best for: studies that need retention controls and a record of changes without paying. In the form's Settings drawer you can set auto-delete after N days, require respondent email verification with a one-time code, protect the form with a password and close it on a date or after a set number of responses. The 90-day version history and the audit log show who changed what.

Build a consent page first (a Checkbox that must be ticked), then use conditional logic to jump anyone who declines to the thank-you page. Use hidden fields to carry a participant ID from the invitation link into every row. Start from the market research survey or usability test feedback template.

Watch out for: it is a form builder, not a research platform, so it has no respondent panel, and it is hosted in the United States. If your ethics rules require EU hosting, choose differently.

2. Google Forms

Best for: quick pilots and class projects. Participants know the interface. Watch out for: limited branding, and sign-in is required for file uploads, which affects anonymity.

3. Microsoft Forms

Best for: studies inside a university or company that licenses Microsoft 365. Watch out for: best inside Microsoft tools. We have not verified the rest, so check Microsoft's documentation and your institution's policy.

4. Formbricks

Best for: teams with IT support that must keep data on their own servers. The Community Edition is open source (AGPLv3) and free to self-host. Watch out for: you maintain the server, and it is built for product and experience surveys. Check pricing for paid licences.

5. Tally

Best for: researchers who need European hosting and a tidy form. Tally is built and hosted in Europe with a GDPR focus. Watch out for: data retention and email verification are Business features at $89 a month or $890 a year.

A short research setup checklist

  1. Write the consent text your ethics board approved and put it on page one.
  2. Ask only for what the study needs. Every extra field is data you must protect.
  3. Pilot with 5 people and check the export opens cleanly in your analysis tool.
  4. Set the retention period before launch, not after.
  5. Export a copy, store it where your protocol says, then delete the form data.

Questions people ask

Which free survey tool is best for a thesis?

The one your institution approves. After that, choose on exports and retention. Qwenvo, Google Forms and Microsoft Forms are the common free picks.

Can I collect consent in a form?

Yes. Add a required checkbox and branch on it. Whether that meets your ethics rules is for your board to say.

Can I make a survey anonymous?

See the anonymous survey tools list for what that does and does not mean.

Will this stay free? If paid plans are ever introduced, everything you already use stays available and you will be told well in advance. Today there is no plan to pick and no card on file.
